Privacy Policy
Effective date: July 12, 2026
GuardianLink ("GuardianLink," "we," "us") operates the EduLink school dismissal and pickup platform, including the EduLink parent mobile app and the school, teacher, and administrator web portals (together, the "Service"). This policy explains what information we collect, how we use and protect it, and the choices you have. It is written for parents and guardians who use the mobile app and for the schools that engage us.
1. Our role, and the role of schools
Schools and school districts use GuardianLink to manage student dismissal and pickup. When we handle information about students on a school's behalf, we act as the school's service provider (a "school official" with a legitimate educational interest under FERPA). We use that information only to provide the Service to that school and do not sell it or use it for advertising. Schools direct how student information is used within the Service and may request its correction or deletion.
2. Information we collect
| Category | Examples | Source |
|---|---|---|
| Account & contact | Name, email address, phone number, profile photo | You, at invitation acceptance and in your profile |
| Identity verification | Government ID card number and photos of the ID card, vehicle description and plate | You, if you choose to add them for pickup verification |
| Pickup / delegate contacts | Name, email, phone of family members or authorized guardians you add | You |
| Student information | Student name, grade, student number, date of birth, dismissal method, bus number, emergency contact, and any special instructions | Entered by the school and/or parents; not collected from children directly |
| Location | Your device's precise location at the moment you scan to check in for pickup | Your device, only during a pickup scan; used to confirm you are at the school and not stored afterward |
| Device & technical | Push notification token, device identifier, app version, and log data needed to operate and secure the Service | Your device |
| Messages | Messages and attachments exchanged through the Service | You and school staff |
We do not collect payment or financial information, and we do not use third-party analytics, advertising, or tracking SDKs in the mobile app. We do not track you across other companies' apps or websites.
3. Children's information (COPPA)
The mobile app is intended for parents, guardians, and school staff — not for children. Children do not create accounts and do not provide information to us directly. Information about a student is entered by the school or by the student's parent/guardian. Because we do not knowingly collect personal information online directly from children under 13, the Children's Online Privacy Protection Act (COPPA) verifiable-parental-consent requirement is generally not triggered; where a school directs our collection of student information, we rely on the school's authority and its consent framework under FERPA and applicable state student-privacy laws.
4. How we use information
- To operate dismissal and pickup: matching a parent or authorized guardian to a student, managing the pickup queue, and notifying school staff.
- To verify identity at pickup, where a school requires it.
- To send you operational notifications (for example, that your child has been released).
- To secure the Service, prevent abuse, and comply with legal obligations.
We do not sell personal information and do not use it for third-party advertising.
5. How we share information
- With your school and its authorized staff, to provide the Service.
- With service providers that host and support the Service (for example, cloud hosting and push-notification delivery) under contracts that limit their use of the information to providing services to us.
- For legal reasons, when required by law or to protect safety.
6. Security
We protect information in transit with encryption (HTTPS/TLS) and store it in access- controlled systems. Authentication is handled through a managed identity provider; we do not store your password. Uploaded documents such as ID photos are stored privately and are not publicly accessible. Access to information is limited to the school and staff who need it for dismissal, and enforced by role-based permissions.
7. Data retention and deletion
We retain information for as long as your account is active or as needed to provide the Service to your school, and thereafter as required for the school's records or by law.
You can delete your account at any time from within the mobile app (Profile → Delete Account). When you delete your account, we delete your sign-in credentials, remove the ID documents and profile photo you uploaded, delete your profile details, and disconnect your device from push notifications. Certain records tied to a completed pickup (for example, the history of a dismissal event and school messages) are retained in de-identified form for the school's safety and audit records; they are no longer associated with your name or contact details.
8. Your choices and rights
- Access and update your profile in the app.
- Delete your account in the app, as described above.
- Control device permissions (camera, location, notifications) in your device settings.
- Depending on where you live, you may have additional rights to access or delete personal information. For student records, please contact your school, which directs how student information is handled.
9. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, by notice within the Service.
